Sutardja Dai Hall Room Rental Policies

General Guidelines

  • All events must end by 10:00 pm. If your event is on a weekend or outside normal business hours, 7AM-5PM, you must arrange for a UCPD Security Patrol Officer (SPO) to be present for the after-hours period of the event.* Police Services Request Form (pdf).   • Building use is not permitted during normal business closure periods such as holidays and University breaks. UC Berkeley Academic Calendar.
  • No reservation request is confirmed unless written confirmation is received by applicant from the Facilities Manager or Facilities Assistant.
  • A non-refundable deposit is required for all reservations. If the total cost of your reservation is under $200, the deposit is $50. If the total cost if over $200, the deposit is $100. The deposit will be charged at the time of your reservation, and will be applied toward the total cost when you are billed after your event. Notice of a cancellation must be given in writing.
  • Event organizers must include in their rental hours sufficient time for setting up and taking down of events, typically 1 1/2 hours before the event and 1 hour after. Access to the rented room will not be permitted until the beginning of the reserved time.
  • Reservations are confirmed and guaranteed only upon receipt of all applicable forms and fees. In order to take time to prepare a facility reservation form, a three day hold on a room may be requested by sending an email to rooms@citris-uc.org, containing: your name, department/affiliation, contact phone number, requested date(s) and time(s) and a working title for the event.

Lessee/Sponsoring Organization's Responsibilities

  • Users agree to abide by the Rules of Conduct in Campus Buildings
  • Users are required to remove trash from rooms at the conclusion of any event in which food is served. See Facilities Manager or Facilities Assistant for dumpster locations.
  • Fire, including candles of any size, are not allowed in Sutardja Dai Hall.
  • The sponsoring organization is financially responsible for any damage to the building, equipment, and/or furnishings caused by persons attending the event.
  • Confirmation of all required arrangements, (see items marked *) e.g. work order numbers, must be emailed to no less than 10 business days before the event.
  • Pick up keys for events between 9AM and 4PM the day of your event by coming to the CITRIS reception desk in 345 Sutardja Dai Hall. If your reservation begins prior to 9AM, you may pick up the key the day prior to the event. If your reservation ends after 4pm, you may return the key the following morning.
  • The facility must be returned to its normal condition at the conclusion of an event. This includes replacing all moved furniture and cleaning up any messes such as crumbs on the floor or table, or overflowing trash cans.
  • No signs, banners, posters or decorations may be nailed, tacked or affixed in any way to the woodwork of rooms. Only approved adhesives (poster putty) may be used to affix signs to the wall. These adhesives may be obtained from the Facilities Manager.
  • Students and Non-campus groups wishing to reserve facilities must obtain a facilities use permit, and submit a Certificate of insurance. See the Real Estate Services Office website for more details. A Certificate of Insurance naming UC Regents as "additional insured" is required from all vendors who will be on-site.

Additional Services

  • You must provide proof of all additional services required for your event, including but not limited to security, EH&S food permit, and PPCS custodial services, within two weeks of submitting your room reservation request. Failure to do so will result in loss of your reservation and forefeiture of your deposit. If special circumstances prevent you from complying with this requirement, please contact us immediately after submitting your room reservation request to make alternate arrangements.
  • Arrangements for food service, clean-up, furniture movement, and event promotion must be made at user's cost. See the Recharge Rates page for more on the services offered by CITRIS.
  • CITRIS does not provide posters, nametags, registration, website development, or other event services. These are fully the responsibility of the event planner(s).
  • All food served must be professionally catered. A food permit from EH&S is required for events where food will be served if the event is open to the public and/or you will charge admission. EHS Food Permit Application* Cal Dining/Cal Catering must be used for catering unless a waiver is granted, and all other caterers require pre-approval from the CITRIS Facilities Manager.   • If you expect more than 50 attendees, or you expect more than 15 and will serve food/beverages, you must arrange with PPCS for extra refuse and recycling bins.* PPCS Website
  • Special event parking arrangements may be requested through the Parking and Transportation Department: (510) 642-4283 or http://pt.berkeley.edu/.   • Fire permits must be obtained for BBQs or other uses of fire, such as hotplates or candles. Please contact the fire marshal at (510) 642-5995 or jdemille@berkeley.edu. Fire Marshal
  • If alcohol will be served, the event coordinator must fill out an Alcohol Permit and have it approved by the Facilities Manager or Facilities Assistant. No alcohol may be served at a student event without a faculty sponsor who will be present for the duration of the event. Alcohol permits can be obtained from UCPD.   • If additional furniture or assistance with setup/takedown is required, contact UC Movers at (510) 643-6262. There is a charge for all services provided by UC Movers.
  • Rental rates for the Banatao Auditorium (310), the Distance Learning Classroom (250) and the Bechtel Conference Room (630) include minimum required technical assistance time of 1 hour for A/V equipment configuration and instrucitons. Disclaimers

  • CITRIS is not responsible for items left on premises by the lessee or guests. All goods and/or equipment must be removed from the premises immediately following the conclusion of the event.
  • CITRIS reserves the right to refuse future rentals to organizations that do not comply with these policies.
  • Exceptions to any of these policies are not valid unless approved in writing by the CITRIS Director.
  • CITRIS may, at its sole discretion, place additional requirements on your event, such as extra security for high-profile guests.
  • All reservations are subject to cancellation by the CITRIS Director.
